WildFire is no longer requiring attendees to show proof of vaccination or testing upon arrival. We do encourage all attendees to take rapid tests over the course of the weekend, but we will not be checking these tests. Anyone who tests positive over the course of the weekend will be asked to leave WildFire, no refunds will be issued.

WildFire is here for all interested people that would like to learn the spinning arts, regardless of age, but there are some reasonable restrictions that must be observed. To that end, we are now offering reduced price tickets for kids 6-14 years of age (children 5 and under still do not require a ticket) who are attending with their parent/legal guardian. If a child is found without supervision at any time the parent/legal guardian will receive one warning. If a child is found almost getting hurt or in a dangerous situation, or a second time without supervision, or the parent leaves the site without their child, the parent/legal guardian may either receive a warning or (more likely) be asked to leave the event at the discretion of the Executive Director. No refund of any kind will be given, and event staff may choose to have the group monitored by an agent of the event until they leave.
Attendees should make an organizer aware of an unsupervised child immediately. If the child is in a dangerous situation, (if possible) bring the child with them to an event representative for the safety and well being of all attendees.

The minimum age to spin fire at WildFire is 16, with parent/guardian supervision and an experienced safety to be selected or approved by the Field Safety Organizers. Individuals under the age of 16 must get special approval from the Field Safety Organizers based on demonstrated maturity and expertise with their prop, and must follow the same supervision guidelines as minors between 16 and 18.
No minor (e.g. individual under the age of 18) will participate in any Fire Breathing or Fire Eating (participation includes safetying or actively performing the act).

If a person wishes to sell a ticket, it is their responsibility to handle the financial transaction privately then notify the event team of the transfer of ownership. WildFire operates a wait list if there is enough ticket demand for an event.
We encourage anyone looking to get rid of a ticket to sell through the waitlist first if it is in operation. It’s secure and it is most fair to those waiting in line.
Scalping of WF tickets (selling for more than the original price) will not be tolerated. WF Organizers will consider any instance of scalping to be a formal declaration of forfeiture of all tickets currently possessed by the scalper. All tickets in the scalper’s name will be canceled, without refund, and will likely result in being banned from the event at the Executive Director’s discretion.
Fellowship tickets (discounted) cannot be sold or transferred. If a discounted ticket has been awarded and purchased and the recipient becomes unable to attend, they should reach out to the event team - specifically the Communications or Operations Director - to discuss solutions.

VOLUNTEERING
WildFire happens because we all work together!! This is a community-driven event, and we all do our part. The ticket price is as low as it is because we do all the work side by side; when you buy your ticket, you commit to 4-6 hours of volunteering on-site. LYME DISEASE NOTICE
Connecticut is home to many wonders of nature, unfortunately that includes the deer tick, a vector for Lyme disease.
Ticks are most active in May, June, and July, so spring WF attendees need to be particularly vigilant. However, tick season seems to be lasting longer and long each year, so we urge ALL WildFire attendees to take precautions. Long pants and long sleeves can help protect you. Tucking pants into boots and shirts into pants will help keep ticks from getting to your skin. Light colored clothes make it easier to detect ticks.
Insect repellent with 20-30% DEET can be used on clothing and on exposed skin to help prevent tick bites. Permethrin is another repellent recommended by the CDC, it will kill ticks on contact. Apply it to pants, shoes, and socks, but NOT to bare skin. One application to clothing will last through several washings. After being out, especially in or near tall grass or bushes, give yourself a thorough tick check. Better yet, ask someone else to go over your bare skin carefully for a tick.

MUSIC, DRUMMING, AND NIGHT NOISE
The night time burn field/music starts at 8:30pm-ish. DJs will provide music for the night time fire spinning. We do our best to incorporate multiple types, styles, and genres of music throughout the weekend, if you are interested in spinning at WildFire the application can be found elsewhere on our website. Out of respect for neighbors and our own participants (some of whom get up to cook us breakfast at 6am or teach in the first block at 9:30am), the DJs will stop by 1am and complete quiet time starts at 2am on both Friday and Saturday. We may extend both times by 1 hour on Sunday night.
PETS
Absolutely no pets are allowed on premises. Service Animals, as defined by the Americans with Disabilities Act, are allowed. To avoid possible conflict on site, we'd appreciate a heads-up at [email protected]!

You need to be safe and clear headed when you’re playing with fire! We're not here to yuck on anyone's yum or judge what y'all do outside of WildFire. But here, alcohol and drugs (including marijuana) are not allowed by our venue, and WildFire embraces this policy. Sober fire performance is a safer fire performance! Anyone found under the influence of, possessing, or selling alcohol or drugs will be asked to leave and may incur a ban of a year or more from SAF events.

The time is announced during the weekend and can be found on the printed schedule (it is not an official WildFire event, but we support it and are happy to make sure anyone who needs it can find it). Anyone is welcome, wherever you are in your recovery journey or even if you're just considering beginning such a journey. Respect for anonymity is requested at the sober meditation.

The first aid volunteer will not diagnose medical conditions, but will help with basic first aid, help you decide if further medical assistance is needed, and arrange for non-emergent transportation to the nearest hospital if you so choose (911 will always be called for emergencies). Please bring medical insurance and emergency contact info with you in case it is needed. As per your event waiver, you attend and participate in WF at your own risk.
Remember to bring enough of your prescribed medications to last through the event. If you have severe food allergies, please note that food is prepared in a communal kitchen - we cannot guarantee that none of your allergen will be present. If you have a serious medical condition which might affect your well-being during the event, please consider alerting the first aid organizer upon arrival so the information is available in case of emergency. Medical info is regarded as strictly confidential.
Remember to bring enough of your prescribed medications to last through the event. NUDITY
Nudity is neither encouraged nor discouraged at this retreat. In the interest of respect, please be aware that some participants are not comfortable with nudity and may be discouraged from attending if they will be constantly exposed to nudity. Be respectful and considerate - don't sit on chairs/benches/tables nude, don't attend classes nude, and respect people's personal space (whether you or they are the nude person!).
LEAVE NO TRACE
We have a great relationship with our venue owners and ask that you continue our tradition of leaving it even better than when you arrived! ALL trash must be packed out or deposited in the dumpsters. Throughout the event, take the time to pick up as you go. If we all do this, it will be MUCH easier on the volunteers that stay late and clean the entire place after us.

WHEN TO ARRIVE / WHEN TO LEAVE
Unless you are signed up as a setup volunteer, vendor, or have some special pre-approved circumstance, you should arrive no sooner than 3:00 PM on Friday.

VENDING
Vending is allowed by WildFire selected vendors only. Please see https://www.wildfireretreat.org/vendors for detailed information and an event-specific application. There is also no promotion of other events allowed without prior permission from the event team.
ILLEGAL ACTIVITIES
WildFire and its associated agents do not condone or permit ANY illegal activities.
KNIVES AND FIREARMS
Connecticut state law prohibits carrying knives longer than four inches, open or concealed. It also prohibits automatic and switchblade knives longer than an inch and a half, as well as all stilettos.
No firearms are allowed at WildFire. This applies even to lawfully abiding licensed carry, according to the policy set forth by the venue, June Norcross Webster Scout Reservation. Possession of a firearm at WildFire is grounds for immediate dismissal.

SHOWERS & BATHING
There are *real* bathrooms and showers available to everyone. Please keep showers brief; hot water is in limited supply! Please do not leave personal items in the showers. All facilities are unisex during WildFire Retreat, even if marked otherwise. Swimming in the lake is allowed, however bathing is not. Please don't use soap, shampoos or other body cleansing products in the lake; it is harmful to the lake environment.
FOOD
Meals are provided as a part of your ticket! We provide a variety of foods at each meal to accommodate a wide array of dietary needs (and they are known to be VERY tasty!). Meals are prepared by volunteers, these shifts have a reputation as some of the most fun ones of the weekend! While we attempt to make food as allergen free as possible we cannot guarantee that all allergens are accounted for (please see "First Aid" above).
Food is served buffet style with labels indicating ingredients/common allergens, but cross contamination is possible. A dietary survey is distributed along with tickets for each event, please be sure you fill that out to help our Kitchen Manager plan accordingly. If you have a question about a food item please ask the Kitchen Manager directly.

INCLEMENT WEATHER
Expect at least some rain at WildFire! It happens for at least a little while at most retreats. We usually move outside classes indoors or under tents, but expect to be outside in the midst of whatever may come. Also, being in the Northeast means it can be chilly or outright cold, especially in the Spring and Fall. Many people say it got colder than they expected. ALWAYS pack for cold and rain, but don’t forget your comfy clothes for when you get to sweating in your sunny classes.
VEHICLES AND PARKING
When you arrive, there will be signs directing you to a greeter’s area where you will check in. You will then be directed where to drop off your gear and then where to park. Weather permitting, you will be able to drive close enough to your camping spot for easy unloading (you cannot drive into camp sites that are in the woods).
DO NOT move your stuff onto your camping site, set up your site, or anything else until your car is parked in the main parking lot as directed. Please move your vehicle as soon as your gear is out of it. There will be a designated area for those that are car camping. Once your vehicle is parked, it must stay there until you leave the event. You can not drive it out and re-enter.

WildFire often has official photographers documenting our events, and we are a photography-friendly organization. As a result, please be aware of the following guidelines:
For Everyone
1. By attending our event(s) you grant WildFire Spinning Arts Retreat (“WildFire”), our agents, and our parent organization the Spinning Arts Foundation (“the SAF”) permission to use images of you taken by our official photographers for any and all legal purposes including, but not limited to, social media, blog posts, portfolio, editorial, documentary, press releases, and/or commercially (for example, we may publish a photo bearing your recognizable likeness and/or artwork on a webpage encouraging ticket sales to future events). This constitutes granting us a required legal release specifically for advertising/commercial purposes.
2. We (the event team, or agents thereof) will strive to obtain consent whenever possible, this consent may be withdrawn at any time by notifying a member of the WildFire team and any photographers/videographers.
3. All attendees must understand that they are ultimately responsible for their own actions - we do our best to protect and respect the wishes of our attendees but there is no guarantee a photo of you won't appear in public and WildFire and/or its agents can not be held responsible if this happens.
For Participants
1. We ask that you gain permission from anyone you take pictures/videos of whenever possible. This can be done afterwards if necessary (“I got this amazing shot of you spinning, do you like it?”)
2. If a minor is present, you must seek consent from their guardian prior to photographing or recording them.
3. You may not photograph anyone who requests not to be photographed, and must destroy any existing images at the subject’s request even if prior consent had been granted.
4. Copyright of your photos belongs to you. We may share a photo that you've put online (always with a valid link and proper credit to you) and we will first seek to gain your legal permission if we wish to alter, edit, re-publish, repost, or use them in any commercial manner.
5. When resharing photos posted by WildFire, their agents, or professional photographer/videographer partners, do not edit or remove any watermarks. Include proper credit to the original photographer and a valid link whenever possible. Event, copyright, and photographer information will be posted with each photo.
6. If you wish to use media taken by event photographers/videographers of you for your own promo, please contact the original photographer/videographer first - they retain the copyright.
For Photographers/Videographers
1. Please do not set up a shoot or present yourself as an “event photographer” without communicating with the WildFire team and obtaining consent to do so.
2. We expect photographers/videographers to be open about their activities. If someone is seen trying to hide that they are taking pictures, malicious intent will be assumed. Organizers may choose to alert authorities and the offending person may be asked to leave the event without a refund.
3. We expect photographers/videographers to obtain permission for pictures that are taken of individuals - beforehand whenever possible, but if a great shot presents itself a photographer may choose to shoot first and ask permission after. They are still obligated to erase the media if the subject asks. Minors may be present, please seek consent from their guardians before photographing them.
4. Photographers/videographers may take pictures/video of groups of people, workshops, in public areas, etc without asking permission of all people who incidentally appear in the shot. However, it is expected that the photographer will exercise good judgment about the content of their media (such as if someone is disrobed) and will obtain consent whenever possible.
5. Copyright of photos/videos taken by the event team, agents of the event team, or its parent organization (the SAF) belongs to the photographer who took them. The photographer then shares their copyright with us or grants WildFire and its parent organization (the SAF) permission to use the photos for event marketing purposes. Altering, editing, re-publishing, re-posting, or any commercial use of said photos is not permitted without authorization.
6. Commercial use of images you have taken cannot be seen to create a potential endorsement between WildFire and you or violate our own trademarks and dress marks. "Buy a print of this photo taken at a fire-performer summer camp" is perfectly okay. "Buy a print of this photo taken at WildFire Spinning Arts Retreat" is not.
7. Commercial use of images you have taken of others not affiliated with WildFire (ie, our Guests / your fellow attendees) most likely requires their permission. Although we cannot give specific legal advice in this matter we strongly suggest that you Do The Right Thing, and ask them to sign a model release to you for that purpose.
TL/DR:
~ If you come to WildFire, we may take pictures of you to use in our social media/marketing.
~ You may request at any time to not be photographed and that any photos/videos already taken be deleted.
